Cancellation FAQs

We are investigating multiple options right now, including (but not limited to): an Annual Meeting webinar series or virtual event featuring some of the presentations that were scheduled to take place; holding a summer 2020 event at the Gaylord National; and expanding the September 2020 Quality College event in Raleigh to incorporate additional dates, venues, and presentation formats. Once the SQA Board has determined the most feasible direction(s) to take, we will announce them.

No, as mentioned above, SQA is working on plans to provide some of the 2020 Annual Meeting content over the next several months. Our plans will be communicated once known.

SQA will be communicating with all oral and poster presenters about potential alternative opportunities for sharing their work with the SQA community. Please watch your email for more information.

SQA is working on plans to provide some of the 2020 Annual Meeting content over the next several months. RQAP units will certainly be provided for any content we are able to produce. In addition, SQA has an extensive library of webinar recordings, past Annual Meeting session recordings, and online learning courses available on the website, all of which are eligible for RQAP units. The SQA Council on Professional Registration will make announcements as soon as possible on any additional information on RQAP re-registration that they may be able to provide.

At this time, SQA leadership and staff are working to identify all costs that will be incurred by cancelling this year’s Annual Meeting and Quality College. We are attempting to mitigate the costs as much as possible. We anticipate that there will be some financial loss to SQA, but that it will not be as substantial as it would have been if the state of Maryland hadn’t ordered all gatherings of 250+ people to be cancelled. It is possible that the loss SQA does experience will affect our implementation of some strategic initiatives.

SQA has event cancellation insurance for the Annual Meeting and Quality College that covers the most typical kinds of disruptions, but the threat or fear of communicable diseases is not covered (exclusion of this type of disruption is very common in event cancellation insurance policies).

SQA has mapped out three possible options for handling registration fees. Registered participants may choose one of the following.

• Receive a 100% refund minus a $55 processing fee. If you already cancelled and you received a partial refund, we will automatically refund any additional monies owed to you. If you already cancelled and asked for a refund but have not yet received it, we will automatically refund 100% of your registration minus a $55 processing fee.
• Receive a credit for 100% of your registration fees to be used at your discretion on SQA activities occurring through 30 April 2021 (fall Quality College, next year’s Annual Meeting, online training courses, etc.).
• Support SQA in providing this year's content in nontraditional ways by donating your registration fees to SQA.

SQA considered whether to waive the processing fee for refunds, but there are fees incurred with each refund. SQA wanted to be able to cover those fees in case the Society faced major penalties from other parties (the hotel, special event, other vendors). If you have a special circumstance and wish to request that SQA waive the $55 processing fee, please contact SQA at [email protected].

We are working through processing many refund requests and you will receive an email receipt. If you need a receipt immediately please contact [email protected].

SQA has emailed all exhibiting organizations with the following two options regarding their booth payment:

1. Receive a 100% refund minus a $55 processing fee.
2. Receive a credit for 100% of your booth to be used towards next year’s Annual Meeting in New Orleans

Please refer to the Cancellation Request form for more information. Complete the form at the bottom of the page to indicate how you would like to your payment issued. It is addressed for attendees but you may still use the form for your request.

 

Booth selection for the 37th SQA Annual Meeting and Quality College will begin this summer. Exhibitors will be contacted in priority point order to reserve a booth.

SQA staff will be contacting sponsor organizations with some alternative sponsorship benefit options to replace the Annual Meeting benefits that were offered.

You will need to contact the hotel directly to cancel your reservation

You will need to contact the airline or your travel agent directly to cancel your booking. Many airlines are waiving cancellation fees and/or offering full credits to use for future bookings, but you will have to communicate with your airline to learn what their policies are in this situation.
